Setting up mail filters for Outlook and Outlook Express

The following was constructed for Outlook 2002 and Outlook Express 6. As far as I know there are only minor differences from earlier versions, but please accept my apologies if I am wrong! John Clegg

Also see the "Managing your e-mail" article in  Dec 2000 TORUS

Outlook

  1. Click on Tools then Rules Wizard
  2. Click on the New button
  3. Click on "Check messages when they arrive" and then Next (in Outlook 2002/3 you will need to click "Start from a blank rule")
  4. Click the box beside "Sent to people or distribution list"
  5. Click the words "people or distribution list" in the lower box and type in the appropriate address (see list below)
  6. Click Next
  7. Click the box beside "Move it to the specified folder"
  8. Click the word "specified" in the lower box
  9. Choose one of your folders or click the New button to create a new folder. When you have selected the appropriate folder click OK
  10. It is advisable also to click the "stop processing more rules" box to avoid some of Outlook's nastier habits!
  11. Click Next twice
  12. Type in a name for your rule, or leave the default name, then click Finish

Another neat trick is to group emails by topic within the folder, then if a topic doesn't interest you, delete it in bulk. It's dead easy! Just right-click anywhere in the list of emails in the folder and select Customize current view. Click on "Group by", and in the top drop-down box select Conversation. Then click OK twice.

Outlook Express

  1. Click on Tools, then Message Rules, then Mail
  2. Click on the New button
  3. In section 1 click in the box beside "Where the To or CC line contains people"
  4. In section 2 click in the box beside "Move it to the specified folder"
  5. In section 3 click on the words "contains people" and type in the appropriate address (see list below), then the Add button, then the OK button
  6. Still in section 3 click on the word "specified" and select the folder you want, or click the New folder button. When you have selected the appropriate folder click OK.
  7. In section 4 type a suitable name for the rule and click OK. Click OK again.
